Privacy Policy

Effective date: October 19, 2026

This policy explains what information MindBalanceSPORT LLC (“MindBalanceSPORT,” “MBS,” “we,” or “us”) collects through mindbalancesport.com and our email newsletter, how we use it, and the choices you have.

This policy covers our website, website forms, and marketing emails. It does not cover information created during coaching or clinical services. Records from services provided by our licensed mental health professionals are protected under HIPAA and described in our Notice of Privacy Practices, which clients receive at intake.

Information we collect

Information you give us. When you request a consultation, contact us, or subscribe to our newsletter, we collect what you choose to share, such as your name, email address, phone number, and the details you include in your message.

Information collected automatically. When you visit our website, we and our service providers collect standard technical information, such as your browser and device type, approximate location based on IP address, the pages you visit, and how you arrived at our site. We collect this through cookies and similar technologies.

Please don’t send health details through our website

Our website forms are for scheduling and general questions. Please don’t include detailed medical or mental health information in a website form or email. We’ll talk through your athlete’s needs during your consultation.

How we use information

  • To respond to inquiries and schedule consultations
  • To send our newsletter and other emails you’ve asked to receive
  • To understand how visitors use our website so we can improve it
  • To keep our website secure and prevent spam and misuse
  • To meet legal and professional obligations

Our newsletter

When you subscribe, we use double opt-in: you’ll receive an email asking you to confirm before we add you to our list. Our newsletter is sent through Brevo, which stores your email address and tells us whether our emails are delivered, opened, and clicked. Every email includes an unsubscribe link, and you can unsubscribe at any time. You can also email us at info@mindbalancesport.com to be removed.

Analytics and cookies

We use Google Analytics, set up through Google Tag Manager, to understand how visitors find and use our website. Google Analytics uses cookies to collect information such as pages viewed and time on site. You can block or delete cookies in your browser settings, or opt out of Google Analytics with the Google Analytics opt-out browser add-on.

Third-party services and content

We rely on trusted providers to run our website and communications. They receive only the information needed to provide their service to us:

  • WP Engine: website hosting
  • Brevo: newsletter signup and email delivery
  • Google: website analytics and tag management
  • Trustindex: displaying our Google reviews

Some pages include embedded content from YouTube and Spotify. When you play that content, those companies may collect information about you under their own privacy policies.

How we share information

We do not sell your personal information. We share it only with the service providers above, when you ask us to, or when required by law, such as to respond to a valid legal request or protect someone’s safety.

Children’s privacy

Our website is intended for parents, coaches, and athletes ages 13 and older. We don’t knowingly collect personal information online from children under 13. Coaching for younger athletes is arranged through a parent or guardian. If you believe a child under 13 has given us information through our website, contact us and we’ll delete it.

How long we keep information

We keep inquiry information for as long as needed to respond and follow up. Newsletter subscribers stay on our list until they unsubscribe. Analytics data is kept according to our Google Analytics retention settings.

How we protect information

We use reasonable administrative and technical safeguards, including encrypted (HTTPS) connections and access limited to staff who need it. No website or email system is completely secure, so we can’t guarantee absolute security.

Your choices and rights

You can ask us to tell you what personal information we hold about you, correct it, or delete it. Depending on where you live, you may have additional rights under state law. To make a request, email info@mindbalancesport.com. We’ll respond within a reasonable time and may need to verify your identity first.

Changes to this policy

We may update this policy from time to time. When we do, we’ll change the effective date at the top of this page.
